This article outlines the steps for adding and managing menu profiles and user access within the roomMaster system. Proper configuration ensures that users have the appropriate access levels based on their roles.

Adding and Modifying Menu Profiles
Step 1: Access the Setup Menu
- Navigate to Setup: Click on the Setup menu at the top of the interface.
- Select Menu Profile: Choose Menu Profile from the dropdown options.
Step 2: Edit Existing Menu Profiles
- Select a Profile: Click on the menu profile you wish to modify.
- Adjust Access Levels:
- To remove access (e.g., Guest Profile Email Export), highlight the option and click Disable.
- To enable access, highlight the option and click Enable.
Step 3: Create a New Menu Profile
- Add New Profile: Click New to create a new menu profile.
- Name Your Profile: Enter a name for the new profile.
- Set Access Levels: Review the default access options and disable the ones that should not be available.
Important to note when customizing access levels:
- Identify Needs: When configuring access, consider the specific needs of the role (e.g., housekeepers may not require back office access).
- Disable Unnecessary Access: Disable access to areas not relevant to the profile, such as Night Audit or Rate Management for non-management roles.
Creating User Profiles
Step 1: Access User Profiles
- Navigate to User Profiles: Click on Setup and select User Profiles.
- Insert New User: Click the Insert button to add a new user.
Step 2: Enter User Information
- User Initials: Assign 2-3 initials for the user’s login.
- Temporary Password: Set a temporary password for initial login.
- User Details: Fill in the user’s name, position, and a valid email address.
Step 3: Set User Access
- Access Tab: Click on the Access tab to assign menu classes (e.g., Clerk, Auditor, Manager).
- Configure Permissions:
- Select the appropriate Accounting Security Level based on the user's role.
- Ensure Clerks do not have the class name "All Access" assigned, as it is reserved for managers.
Step 4: Finalize User Profile
- Report Access: Specify access to reports as needed.
- Add Notes: Optionally, include any relevant notes about the user.
- Save Profile: Click OK to create the user profile.
Managing Existing User Profiles
- Disable a User: Double-click on the user’s profile and check the highlighted box to disable access.
- Edit or Delete Profiles: Use the side menus to modify or remove user profiles as necessary.
