Any time changes are made to Room Types, Room Information, or Availability Days, the forecast should be rebuilt. Otherwise, the forecasting feature of roomMaster can be inaccurate. Click on Setup > Rebuild Forecast to run the function. Be sure to run this option after setting up roomMaster.
When Rebuild Forecast is selected, roomMaster deletes the existing forecast, then creates a new forecast based upon:
Nobody else can be using roomMaster when a forecast is being rebuilt. |
If you feel that the availability is wrong or incorrect, have all users exit roomMaster and select Setup > Rebuild Forecast. This will rebuild the forecast numbers from scratch. If you still feel the information is incorrect, you should select the Breakdown button from the Availability window which indicates exactly how the forecast numbers are derived. Once you have rebuilt the forecast, it is always accurate. Most reasons why users feel their inventory is wrong, when in fact it is not, is usually because of Groups unreleased, Unavailable Rooms with a past Available date, connector rooms, or Out of Service Rooms. Using the Breakdown button on the F4-Availability screen will always show you exactly what makes up the total inventory and available inventory.
Also, if you have recently added room numbers or changed room numbers, or the room types of certain rooms, availability may appear to be wrong. Rebuild the forecast and if the availability still seems to be incorrect, run the Assigned Rooms report and look for discrepancies between the Resv Type Column and the Actual Type column, marked with an asterisk. The Resv Type is the room type on the reservation. The Actual type is the room type of the room number assigned. If these two are not the same, it will create an issue with availability. Go to the reservation with the discrepancy and change the room assignment to match the room type on the reservation or change the room type on the reservation to match the room number assigned.
