Dayend Close - PDF Options

roomMaster can compile the night audit reports, also known as the "audit pack", into a single PDF (Portable Document Format) file for easy saving. This file can be stored on the configured file share, and it also can be automatically emailed or transmitted to an FTP server. All data transmitted within a Dayend Close will not contain payment application data or other sensitive data (Standard FTP delivery is not a secure method of transport).

PDF is the ability to save all reports into one Adobe File which can be read by another user using an Adobe Acrobat Reader. For more information, go to www.adobe.com

Create PDF of all Audit Reports after Dayend Close Select this checkbox to enable the PDF option. This is always enabled.

PDF File Name Enter a file name for the PDF file. The PDF file will be saved to the roomMaster directory by default and the same file will be overwritten each time the PDF is created during the dayend close. See Append audit date for information how to add the audit date to the file name automatically.

Append audit date after file name It is highly recommended to use this option to differentiate between daily audit packs. The audit date is appended in yymmdd format. If the roomMaster defaults are used, the filename would be AuditPack110418.pdf for the April 18, 2011 audit pack.

Excluded Reports Reports that are scheduled to automatically print before or after the dayend close can be excluded from the PDF file of audit reports.

SMTP(Email) Options

Method - Use the drop down box to select the if and how to email the PDF file.

• Do Not Send Audit reports through Email - This option will not send the PDF file via email.
• Send as Email using SMTP settings - This option will send an email automatically using the SMTP settings configured in roomMaster.  The user will not preview the email prior to it being sent.

To/CC Address - Address and CC Address - Enter a valid email address or addresses to send the night audit PDF and a carbon copy address if needed. The fields can hold up to 70 characters each and multiple addresses can be entered by separating each address with a semi-colon(;).

iQ-Point of Sale - Enter a valid email address or addresses to send the iQ-POS (Point of Sale) PDF. The iQ-Point of Sale report will also be sent to the TO and CC fields as well. It is normal to put the Food and Beverage Director on the iQ-Point of Sale line so they do not receive roomMaster reports.

NOTE: The "To:" field must never be left blank and is required if the CC and/or iQ-Point of Sale fields are used.

FTP (Server)

If your corporate office has an FTP server (see your computer administrator), then the PDF audit pack can be dropped off at a remote server location. See Internet FTP Settings for detailed information on FTP settings.
