The custom associates report allows you to print the associates (maids) report, but in a specific order. This would be if the same associate or group clean and manage the same rooms every day. Where the Associates Report will print each room in room number order, the Custom Associates Report will print certain rooms in a certain order all on specific pages per associate or group. You will describe to the system which rooms print with which group.
Report Options
From this tab, enter the room numbers, room statuses and select special options for the report. In Notes, add any notes to appear on each page.
Select the Custom Associates Report Setup button and a list of all your rooms appears. Highlight the room you want to assign and click Update. Enter either the associate's initials, their name or a group name which will be the person(s) who cleans the room. In the sequence field enter where in the list of rooms for the associate this room should appear with 1 being the first room.

In the above example, three associate sheets will print each morning for each of the three people. In Sam's case, room 203 will be listed first, then room 202 and last room 201. Usually you would want the rooms to print in the order in which they are laid out in the hotel.
You can change the information as much as you like, however, it is good to make the report generic so it will work seven days a week. This report can be used instead of the generic associates report to make sure all rooms print on their own sheet for each floor.
Use the Quick Update option to assign multiple rooms to a group at one time. After entering the starting and ending room numbers, enter the group name and start sequence number. The sequence of the rooms will be assigned in the same order as the room numbers. For example, if rooms 301 through 310 were assigned to Sheila and one(1) was entered for the starting sequence, the following would be the result:

You can then open the individual rooms to re-sequence them if needed.
Custom Associates by Assignment
To assign Housekeeping Associates to the housekeeping report, select Reports > Custom Associates Report > Setup Options > Custom Associates Report Setup by Assignment.
This option will assign a particular housekeeping associate (or group name) to each room that needs to be cleaned. Once this is completed, you can print out the Custom Associates Report so each sheet can be given to each housekeeping associate or group.
Each morning, the head housekeeper should press Clear All to reset all the rooms from the previous day. You can also press Remove All which is both clear all rooms that were assigned the previous day but also remove all the housekeepers as well. This should be done if not all the same housekeeping associates are working today as yesterday.
The daily process for the head housekeeper should be:
1.
Press Remove All to reset the list and assignments from the previous day,
2.
Press Add to assign which housekeeping associates are working that day.
3.
Press Auto Assign to assign/distribute the rooms that need to be cleaned
4.
Press Finish to complete/close the window.
5.
Update any Notes that need to be on the sheets for all housekeepers
6.
Press OK to print the Custom Associates Report in assignment order.
At the end of the day, or as each housekeeper completes their assignment, you can go back into this function, highlight the Associates name on the right and press Clean to mark all rooms as cleaned.
To use the Custom Associates Report by Assignment, you must create a record for each housekeeping associate. Press Associates to create a record for each associate or group if housekeeping works in teams.
Housekeeping Associates
·
Associate Name - The name of the associate. (ie: Mary)
·
Department - Usually "Housekeeping" however, you may want to assign to a different group or team of housekeepers.

SignOn Initials - If the associate will be using iQ-Anywhere (roomMaster Mobile), use the roomMaster SignOn Initials so that when they use iQ-Anywhere, they will be able to filter and see only the rooms that have been assigned to them. If you are not using iQ-Anywhere, this field should be left blank.

Contact Phone - Phone number for contact.
·
Notes - Enter a note which will appear next to the associate in the Rooms Assigned tree. This can be something the main housekeeper needs to see everyday when assigning rooms such as "Does not like first floor" or "Cannot clean more than 10 rooms" or "Cannot go up stairs".

Inactive Associate - If this is marked (checked), the name will no longer appear in the list of available associates to choose from.
·
Max Rooms - The maximum number of rooms to assign to this particular associate when using the Auto Assign feature.
·
Preferred Zone/Floor - The preferred Zone/Floor (from Rooms Numbers Setup) that will be first assigned to this associate when using the Auto Assign feature.
Auto Assign
This function will assign all Dirty and Occupied rooms to evenly to all Associates designed to be working that day.

Clear All Assignments First - If checked, all current assignments for each associate will be removed.
·
Assign Even Number of StayOvers and CheckOuts - Since StayOvers take less time than CheckOuts, the system will first assign all StayOvers evenly and then assign all CheckOuts evenly. If this is not checked, rooms are assign to associates regardless of their status.
·
Assign by Preferred Zone/Floor first - If checked, the system will assign rooms based on the associates Preferred Zone/Floor indicator and then by room number. If this is not checked, rooms are assigned by Room Number order to the associates in Alphabetical Order.
Other Options
·
Add - Add an associate to the Assigned Rooms tree.
·
Remove - Removes an associate from the Assigned Rooms tree.
·
Unassign - Unassigns either the room or entire associate.
·
Clean - Marks either the room as clean or all rooms clean for associate.
·
Remove All - Removes all rooms and all associates (complete reset)
