Current Snapshot

The Current Snapshot is accessed through Back Office > Dashboard or by pressing Ctrl+P.  The screen shows you the current inhouse information along with the current projected rooms to be filled for the day.  In addition, the Other Days button allows you to look at past information.  For future information, you should run forecast and room availability reports in the reports menu.

• Total Rooms - Total number of rooms in the system, excluding Meeting Rooms.
• Total Unavailable - Total rooms marked as Unavailable.
• Total To Sell - Total rooms minus Total Unavailable
• Total Occupied - Total Rooms that are currently occupied
• Total Unoccupied - Total Rooms are that are Vacant/Clean and Vacant/Dirty
• Available for Walkins -  The current number of rooms available minus the remaining departures.  This allows for the possibility of a expected departure to extend their stay.
• Example: A property expects 20 rooms to be empty at the dayend close and there are 8 remaining departures at the time the current snapshot is opened, Available for Walkins will be 12 (20 - 8).  If an hour later there are only 4 remaining departures, the Available for Walkins will be 16 (20 - 4), assuming no new reservations or unexpected departures have happened since last looking at the snapshot.
• Current Avg Daily Rate(ADR) - The Average Daily Rate of all posted rooms so far (including any voids and adjustments) along with inhouse rooms to be posted tonight.  For more information on adjustments and voids, use the Display Journal option and look at all posted rooms for today for accounts 100 and 101.
• Avg Daily Rate with Reservations - The total above along with current reservations scheduled to arrive today.
• Projected Room Revenue - The total room revenue including all posted room revenue so far (including any voids and adjustments), the anticipated room revenue for curretn inhouse rooms, and the room revenue for current reservations scheduled to arrive today.
• Note: If the option to rollup revenue from Packages, Special Packages and Daily Charges (Setup > Configuration > Reservations) is selected, any revenue to be rolled up into Room Revenue is included in the Projected Room Revenue.
• Yesterday's Avg Daily Rate - The total rooms posted (including voids and adjustments) by total rooms occupied for the previous audit date. (see Dayend Close options if you want Unavailable Rooms factored in this equation)
• Current Occupancy - The total rooms inhouse (at the present time) factored by the total rooms available to sell.
• Anticipated Occupancy - The current occupancy factored with current reservations scheduled to arrive today.
• Yesterday's Occupancy - The occupancy shown on the dayend close report from the previous day.
• CheckOuts Today - The total inhouse guest with a checkout date of today.
• CheckOuts Tomorrow - The total guest currently scheduled to checkout tomorrow.

Occupancy Comparison

The Occupancy Comparison is accessed through Back Office > Dashboard. The Occupancy Comparison window allows you to analyze your daily occupancy visually. Different colors represent different levels of occupancy.

Use the arrows at the top of the each calendar to change the month displayed.  The double-arrows move back/forward one year at a time, while the single arrows move back/forward one month at a time.

By default, each block will show the occupancy percentage.   You can also select to include one more piece of information using the No Statistics drop-down.

·	Show ADR - Shows the Average Daily Rate

·	Show RevPAR - Shows the Revenue Per Available Room

·	Show Room Revenue - Shows the total Room Revenue that will be posted for that day

·	Show Unavailable Rooms - Shows the number of rooms marked as either Unavailable  or Out of Service.

There are more options using the three icons to the upper-right:

1. Display as Chart - Displays the information as a Graph
2. Options - Further define the parameters of the screen including colors.

Color Options

You can specify up to five thresholds for the occupancy colors.  Click on the … button by each threshold to pick a color.

Future Occupancy Options

You can choose whether or not to include unavailable or unbooked group rooms in the occupancy statistics.

Initial Display

Select which comparison you would like to be displayed whenever you select the Occupancy Comparison.  This change will be reflected the next time you open the Occupancy Comparison.

3. Initial Calendar Display - Resets the Left and Right panes to the dates when first opened.

Performance/Outlook

Click on the date to change the starting date

·	Rooms Left - Number of rooms left to sell (Also excludes Out of Order/Unavailable Rooms and Group Block Rooms)

·	Occupancy - Current occupancy (Also excludes Out of Order/Unavailable Rooms and Group Block Rooms)

·	ADR - Current ADR (OOO/Unavailable Rooms based on Dayend Close Setting)

·	RevPAR - Revenue Per Available Room (OOO/Unavailable ROoms based on Dayend Close Setting)

·	Room Revenue - Current Room Revenue (excludes unfilled Group Revenue)

·	Best available Rate - Rate based on default room, default rate, default number of adults
