How to Capture a Guest Digital Signature at Check-In
Overview
The Digital Signature feature allows guests to electronically sign your property’s policies and stay details using the EMV device (PIN Pad). This signature is securely stored and can be printed at any time.

Capturing the Digital Signature During Check-In
Step 1: Open the Guest Reservation
From the Quick Room screen (or anywhere you can open a reservation):
Open the arriving guest’s reservation.
Step 2: Begin the Check-In Process
Click Check-In
-
Select:
Check In, or
CheckIn/Guest Ledger (whichever is your usual workflow)
Step 3: Select Digital Capture
Click Digital Capture
Step 4: Guest Signs on the PIN Pad
The PIN Pad (EMV device) will activate.
Your screen will show a “Digital Signatures” prompt while waiting.
If the guest delays and the screen times out:
Click Digital Capture again.
You may need to press Cancel on the PIN Pad as well.
Step 5: Signature Saving Confirmation
Once the guest completes signing:
You will see a message indicating the Digital Signature is being saved.
From here, continue the check-in process as usual.
Capturing a Digital Signature Before or After Check-In
There are situations where you may need a signature outside the standard check-in flow.
Before Arrival
Examples:
A guest books multiple rooms.
The responsible party signs for all rooms in advance.
You complete check-in later when occupants arrive.
After Check-In
Examples:
Guest extends their stay.
Guest upgrades to a higher room category.
Stay details change and require updated authorization.
After updating the booking, you can initiate a new Digital Signature for the revised details.
How to Capture a Signature Outside Check-In
Open the reservation or folio.
Click More Options
Select Digital Sign In Capture
The PIN Pad will activate and wait for the guest’s signature.
If it times out:
Click Cancel
Select Digital Sign In Capture again
You may also need to cancel on the PIN Pad.
Once complete:
A message will indicate the signature is being saved.
The updated or pre-arrival signature is stored securely.
How to Print a Digital Signature
If you need a printed copy of the digital signature:
Step 1: Open Reservation or Folio
Open the guest’s reservation or folio.
Click More Options
Select Print Digital Sign-In
Step 2: Loading Screen
You will briefly see a Loading Digital Signatures message.
Step 3: Print the Report
The Digital Signature Report will populate.
You can now print the report.
The Printed Report Includes:
Signature image
Device and transaction details
Guest stay information
Policy acknowledgments and agreement text
Best Practices
Capture the signature during check-in whenever possible.
If details change, always capture a new signature.
Use pre-arrival signatures for group or multi-room bookings.
Print and file copies when required for compliance.
