Rate codes can be made unavailable for specific dates, closing the rate for a time frame. For example, you would not want your most discounted rate available on a holiday or special event weekend.
To add "closed dates" to a Rate code, please go to SETUP > RATE MANAGEMENT > SETUP RATE CODES.
Select the Rate Code you wish to add the Closures to.
You will be adding your closed dates to the CLOSURE TAB
***IF YOU DO NOT SEE A CLOSURE TAB***, that would indicate the rate code is derived and you have the "Mirror Restrictions and Closures from Derived Rate".
You can either un-check that box and add Closures here, or you can add the Closures to the rate it is Derived from.
Rate codes can be closed for multiple time frames. Click Insert to enter the dates to be closed. The Rate code field on the reservation form turns red if a closed rate code is entered.
Lower/Higher Date - Enter the first and last date, based on check in date, for the time period you do not want the rate code to be available.
Effective Date - Enter the date after which this rate code should not be used to book reservations within the time frame selected.
Example: The AARP rate is configured to be closed July 2nd to July 6, effective April 1. Through March 31, reservations can be made using the AARP rate for July 2 through 6. From April 1 on, if the AARP rate is selected for a reservation during the closed time frame, the reservations will not be able to be completed. A prompt box will appear advising the rate code is not available for the dates of the reservation and the Rate code field will have a red background on the reservation form.
Note: A rate code cannot be used if it is closed for any part of a guest reservation.
REVENUE MANAGEMENT TIP - The effective date can be changed to allow reservations as the dates the rate is closed draw nearer.
It is highly recommended to use the next day's audit date for the Effective Date. If the Effective Date is set to the current audit date or before, the closed rate will apply to reservations already made. Once the reservation is accessed, it will not be able to be saved using the closed rate code.
You may want to only close the rate for certain sources. For example, you might want to continue taking reservations at the property for a discounted rate, but not offer it through WebBook or your Global Distribution System using WorldLink. Use the System Options to select which sources the rate closure should be applied to.

When dates for a rate code are closed for Normal Bookings, (Closed) will appear on the F4-Availability/Room Chart screen if the Show Rates option for the closed rate code is selected.
