Quick Assign Room Display

This feature allows you to quickly assign rooms for all of your future reservations.

Click Front Desk > Quick Assign Rooms or Alt-Q to access it. You can also change the name on the reservation right from the assign room screen. This allows you to quickly assign rooms for all reservations arriving on a certain date without having to access the reservation itself.

Date Range

The For Date field is a spin selection box that you can use to filter by date which reservations will appear in the Quick Assign Rooms screen. All Dates will display all future active reservations.

Only Unassigned/Invalid Rooms

Check the option to filter out all reservations for the selected date that do not have a room assignment or have an Invalid Room Assignment. Reservations for multiple rooms that do not have all rooms assigned will be included. (An invalid room assignment would be a reservation for a KING bed but the room assignment is not longer a KING bed)

Exclude Groups

Ignore all reservations which have a Group Code assigned to it.

Assign Room

The Assign Room button at the bottom of the Quick Assign Rooms screen will display the Room Assignment screen that will allow you to assign a room to the highlighted reservation.

Change

The Change button at the bottom of the Quick Assign Rooms screen will take you directly to the reservation record for the currently highlighted selection.

Assigning the Room

The Assign > button will transfer the highlighted room number from the Available rooms list on the left to the Assigned rooms list on the right. You are only able to transfer the maximum number of rooms reserved on the selected reservation record. You can assign a partial number of rooms leaving the remaining rooms to be assigned later.

The Remove button will remove the highlighted room number from the Assigned rooms list on the right to the Available rooms list on the left.

Show/Add Connecting Rooms

The Show/Add Connecting Rooms checkbox at the bottom of the Room Assignment screen will filter the Available rooms list on the left to show only the rooms that are setup as connecting rooms with any room that you currently have in the Assigned rooms list on the right.

When assigning connecting rooms to a reservation, assign the main room and then check Show/Add Connecting Rooms. Rooms do not have to be the same room type to be connectors, so you could assign a Suite room type to a reservation, then assign a connecting parlor or king room type as the second room. When checking in a reservation that has connecting rooms, simply checkin the main reservation and all connecting rooms will checkin automatically. The room rate on the connectors will be $0.00 and all charges will automatically reroute to the main room.

:::note[Example] Let's assume you have set up room 101 and 102 to be connecting rooms. (This can be done through Setup > Configuration > Reservations > Room Numbers > select a room > Change > Connect Room).

After assigning room 101 with the Assign button, check the Show/Add Connecting Rooms checkbox to filter the Available rooms list to show only those that connect to room 101. Room 102 will now appear and be available to assign to Assigned rooms list. Any other rooms that you may have setup to connect to room 101 would also appear.

Note: Only available rooms will display. Any connecting rooms that are already blocked for another reservation will not be included. :::

Lock Assignment

This check box will lock the rooms that you assign to the reservation record. This will ensure that the assigned rooms can not be cleared if the Auto Assign feature in roomMaster is run. Reservations with locked room assignments will display yellow text in the Availability/Room Chart by Room Number screen.

Rooming List Information

The Rooming List Information section contains three text entry fields that prefill with the Title, First Name and Last Name of the guest on the reservation record. You can change the contents of any of the three fields. Any changes that you make are also changed on the original reservation record.
