Folio Labels

Each guest and desk folio can have up to 4 sub folios attached to one room. Different sub folios allow the property to break down guest charges on separate bills when the guest makes the request. For example, a business traveler may want his bar and telephone charges on a separate bill since his company may not pay for these incidentals. These sub folio can be set up as needed per guest here, or if you want to always use sub folios for incidental charges for example, you can define defaults in Setup > Configuration > Guest Ledger > Sub Folio Options

Sub folios can also be used when a guest wants to share a room with another guest and room charges should be split. See Splitting Rooms Charges for more information.

To create a new folio, select More Folios from a Guest Folio menu. Enter any type of label and then press OK. A new sub folio tab will appear on the Guest Folio. Each sub folio can have separate guest information (name, address, credit car information). You can enter this information by pressing the Name Properties button next to the sub folio for the added guest. The guest's information will print based on what sub folio is being viewed when the print button is pressed. You can only have four names with full information on each folio, however you can register more names in the room that will appear in the Guest Directory. To add more names, use the Insert, Change, and Delete buttons found in the More Names box.

EPI / Incidental folio defines which folio should be used for incidental charges and posting phone charges (via EPI). This folio can be set to have a distinct color if configured to do so in Sub Folio Options.

Splitting room charges

It is possible to split the room charge over multiple sub folios by entering a percentage in Room %. By default, the Master Folio receives 100% of the room charge. If the percentages do not add up to 100, roomMaster does not let you proceed until the folios total 100 percent.

From the Guest Folio screen, select More Folios. Next, give each folio a name and a charge percentage.

Master Billing - Routing Charges

Each sub folio can be set up to be routed to a master desk folio. Enter the master Desk Folio ID under Group Folio to enable this feature. To do this, the desk folio should already be setup. For more information, see the help for Group Master Billing.
